Returns and Refunds Policy
What to know before requesting a return on KoolAir products.
General Return Policy
Like-new, non-defective, undamaged KoolAir products purchased from this website may be returned for a partial refund of the purchase price. Returns are accepted within 30 days of the delivery date.
All returns are subject to a 25% restocking fee. The original shipping charge and any return shipping costs will be deducted from the refund amount. Approved refunds are issued to the original payment method used at checkout.
Return Conditions
The following conditions apply to all returns:
- Products must be in like-new, undamaged condition and in their original packaging.
- Returns must be authorized before shipping anything back. Do not send items without prior approval.
- The buyer is responsible for all return shipping costs.
- Original shipping charges and any return shipping costs incurred by KoolAir Pumps will be deducted from the refund.
- No returns on parts, seals, or O-rings.
- No returns accepted on items unused and unopened after 30 days from the date of delivery.
- Specialty pumps, custom builds, and non-standard products are not returnable.
- Refusal of a shipment without prior authorization does not qualify for a refund.
Restocking Fees
KoolAir products accepted for return are subject to a 25% restocking fee applied to the purchase price.
Returns that are not in original packaging, show signs of use, or are missing components may not be accepted.
Order Cancellations
Orders may be canceled before they ship. Once an item has shipped, it is considered a return from that point forward and is subject to the return conditions above.
Credit card cancellations are subject to a standard 3% processing fee applied to the total amount charged. Refunds for canceled orders are processed within 3 business days, less the processing fee. If your order has already shipped, additional fees may apply.
Cancellations must be called in to (800) 810-1053. Email cancellation requests are not accepted. You will receive a cancellation confirmation number and email once approved.
How to Request a Return

Call (800) 810-1053 or email info@koolairpump.com with your order number and reason for the return.
Get Authorization
We will review your request and provide a return authorization number. Once authorized, ship the item to our return address below.
Ship the Item
Pack the product in its original packaging and ship it to: KoolAir Pumps Returns, 5044 Industrial Rd, Suite C, Farmingdale, NJ 07727. Once we receive and inspect your return, your refund will be processed per the terms below.
Refund Processing
Approved refunds are credited to your original payment method. Please allow up to 5 - 10 business days for the refund to appear on your statement after we receive and inspect the returned item.
Refunds are calculated as:
- Original purchase price
- Less: Original shipping charges
- Less: Return shipping costs (if applicable)
- Less: Applicable manufacturer restocking fee
